ELIXR Simulations is a nonprofit that supports the adoption and production of XR (VR/AR/MR) across Alberta. We’re passionate about delivering high-impact programming and partnerships, and need someone who thrives on making things run smoothly behind the scenes.
As our Operations Lead, you’ll work closely with our CEO and play a pivotal role in shaping how we operate and grow. From building lightweight systems to keeping timelines on track, you'll help our team stay focused, aligned, and moving forward. You’ll wear multiple hats and be trusted with a wide scope, but you won’t be on your own. We value collaboration, initiative, and a strong “get shit done” mindset. You'll have the opportunity to drive real impact in a fast-moving environment where no two days are the same. As a small, growing team, one day you might be polishing a grant report, the next troubleshooting software, and the next coordinating a multi-partner project. If you prefer sticking to one type of task, this role may not be for you.
The Operations Lead is:
- Exceptionally organized and process-oriented

- Takes ownership of projects from start to finish, following through with minimal oversight
- Solves problems proactively and creatively, using resourcefulness to move work forward when obstacles arise
Responsibilities
As our Operations Lead, you’ll play a central role in the day-to-day functioning of ELIXR, supporting project delivery, team coordination, and organizational systems. You’ll also work closely with our leadership to build the foundation needed to scale our programming and partnerships.
- Support the execution of projects and programming by managing schedules, coordinating meetings, and ensuring key milestones are met
- Develop and improve operational processes and documentation (e.g. SOPs, templates, reporting dashboards)
- Coordinate with external contractors, vendors, and service providers
- Oversee basic financial admin: coordinate with bookkeepers, track expenses, manage receipts and payment approvals
- Manage administrative tasks related to funding programs (e.g. grant reporting, salary matching)
- Help ensure our internal communication and project management systems (Slack, Notion, Google Drive, etc.) are organized and consistently used
- Provide hands-on support for team-wide logistics, from event coordination to software onboarding
- Support internal data management, program tracking, and light reporting for funders and partners
Skills & Qualifications
- Minimum 2–3 years of experience in operations, admin, project coordination, or nonprofit management
- Strong organizational and time-management skills
- Demonstrated experience using productivity tools (Google Workspace, Notion, Slack, etc.)
- Comfort with basic financial coordination or bookkeeping tasks (invoicing, vendor payments, budget tracking)
- Ability to problem-solve independently and thrive in a fast-moving, ambiguity-friendly environment
- Strong communication and collaboration skills
- Familiarity with XR/immersive technologies or a strong interest in learning

Compensation & Benefits
We believe in fair pay and rewarding growth.
- Salary range: $75,000 – $90,000 per year (most new hires can start around $80,000, depending on readiness to succeed in the role)
- Job Type: Full-time (37.5 hours/week)
- Vacation: 2 weeks paid + office closure in late December
